Do I need to know what I want to automate?

No. Start with the work that slows you down. Discovery helps turn those frustrations into a shortlist of practical opportunities.

Will you replace our existing software?

We start with the tools you already use. We’ll assess what they support and whether a connection, a workflow change, or a custom agent is the right fit.

What if AI makes a mistake?

We plan for that. Each project defines review steps, exception handling, and what the agent is allowed to do. Actions with greater consequences can require a person’s approval.

What is an AI agent, in plain language?

An agent is software given a specific job, a set of approved tools, and boundaries. It might read a document, look up information, prepare an answer, or carry out an approved step. Its abilities depend on what we build and test for your project.

How is this different from using a chatbot?

A general chatbot can help with individual questions. A custom agent is designed around a repeatable business workflow, with the right information, system connections, review steps, and ongoing care.

Does every automation need AI?

No. Clear rules often work best with conventional automation. AI can help where the task involves varied documents, language, or interpretation. We choose the simplest approach that meets the need.

How long does a project take?

That depends on scope, access to your systems, and how much testing the workflow needs. After discovery, your proposal will include milestones, dependencies, and an estimated schedule. We start with a focused pilot where possible.

What access will you need?

We first ask what systems are involved and what access is possible. Any actual credentials or permissions are arranged later through an agreed secure process. Please don’t put passwords or customer records in the discovery questionnaire.

Can our information stay on-site?

That can be a design requirement. We’ll assess which tasks can run locally and whether any proposed AI or software service processes information elsewhere. Local installation by itself does not guarantee that all processing stays on-site.

Can you work with our IT provider?

Yes. Your IT team or provider is an important part of access, installation, security requirements, and ongoing support. We identify those responsibilities before deployment.

What does monthly maintenance include?

Your care plan defines support hours, monitoring, routine maintenance, and response expectations. New workflows, major changes, and additional agent skills are scoped and approved separately.

Who owns the agent and the information?

Ownership, licensing, hosting responsibilities, and export or handover arrangements are defined in your agreement. We discuss those terms before you commit to a build.

What happens after I complete the questionnaire?

It gives us a starting point for a discovery conversation. We’ll review your priorities and identify questions to explore together. Completing it does not place an order or authorize access to your systems. Review your answers and choose “Send my discovery brief” to email them to Workwell. You can also download a copy or an email draft.
